The Role

Oxfam Great Britain is looking for Programme Support Executive for the Impact Programme Operations Team to support the busine needs of Project and Programme Managers across Impact Division to meet our compliance requirements across OGB. You will provide a crucial role to support the Impact Division’s programmatic work, providing efficient programme support, coordination, and monitoring.

Please note this vacancy is for a 1 year fixed maternity cover.

What we are looking for

This role will provide oversight of Impact Divisions contract and project portfolio.

You will provide effective and reliable support to manage restricted/unrestricted contracts on our contract management system CRIMSON and Projects on our Project Management system OPAL. The role requires excellent organisation and communication skills, you will be required to work with a range of stakeholders, from senior management, finance and our country colleagues.

Key Responsibilities of role:

  • Provide Systems and Business support for the Programme’s Portfolio of the Impact Division. Respond to queries on project/contract management system (OPAL/CRIMSON).
  • Provide effective Programmatic support on our systems for restricted/unrestricted contracts, to manage contracts and projects to ensure we meet all contractual reporting requirements as well as OGB’s compliance requirements.
  • Provide financial administration; processing of invoices, recharges, maintain financial databases and reporting.
  • Monitor and maintain databases for contract and project performance, provide monitoring support to Leadership Team to enables accountability to Projects.
  • Coordinate and support Project Managers in administrative processes. Provide monitoring support and coordination with other departments. Build efficient relationship with Payment and Procurement teams on best practices.
  • Act as a point of contact for the Impact Division, responding to queries and provide information relating to business operations to support the coordination of best practice ensuring we meet our compliance requirements. Support colleagues across Impact with advisory systems support, signpost to required training, providing system training to when required.
  • Support the Resource Manager to maintain, develop, and manage efficient processes. To maintain, develop, and manage efficient and effective administrative and business systems when monitoring restricted contract linked to the team, e.g. Logistical procedures, information storage systems, databases, project management systems, financial and other monitoring data, tracking and reporting.
  • Manage the use of appropriate technology and tools to support project internal and external communications, liaising with relevant parties as appropriate; connecting with working groups and coordinating with country offices and regional platforms and provide support on project communications needs, in collaboration with other team members.
  • Communicate with the Impact Division on latest project/contract updates, liaising with other departments (Payment, Procurement, Systems etc.) to build knowledge and learning.
  • Manage or oversee supplier payments, invoices and purchase requisitions and keep accurate records of these for monitoring purposes and advise the team on best practice and appropriate financial processes.
