LOOKING FOR AN ADMINISTRATIVE ASSISTANT TO JOIN OUR INTERNATIONAL DEVELOPMENT AND HUMANITARIAN ASSISTANCE TEAM

With an expanding portfolio of humanitarian assistance and disaster preparedness, risk mitigation and recovery programs, we are currently seeking an Administrative Assistant who has a passion for international development and humanitarian work to become a member of our growing and dynamic global International Development and Humanitarian team.

Location: Eligible candidates will be based in Puerto Rico.

Job purpose:

The Administrative Assistant will provide broad-based support to Miyamoto’s international development and humanitarian assistance team. This team works on humanitarian and disaster-related projects worldwide. The role will report to the Project Specialist, who carries out various strategic initiatives across multiple functions, including global operations, client, partner and consultant management and business administration, under the direction of the Principal of International Development and Humanitarian Assistance.

This is a high energy role that will play a critical role in helping the team deliver impactful work serving disaster affected or prone communities globally. It will require a highly organized and detail-oriented individual with an ability to multitask and juggle many projects at the same time.

Key Responsibilities of the position include, but are not limited to:

  • Support the Project Specialist and Principal of the team to carry out critical strategic initiatives, providing coordination, organization, administrative and logistical support.
  • Help organize, coordinate and schedule internal and external meetings.
  • Learn, develop and maintain operational, administrative and filing systems, working together with various teams, strategically improving these for user-friendliness and efficiency.
  • Manage and maintain an up-to-date client management system.
  • Manage Miyamoto’s partner and consultant roster, comprising of development/humanitarian agencies, academic institutions, consulting firms, and individual experts.
  • Support the drafting, review, and management of consultant contracts, using Miyamoto’s standard contracting templates, filing and management procedures.
  • Support to our nonprofit, Miyamoto Relief.
  • Manage ad hoc tasks.

Minimum Qualifications:

  • Bachelor’s Degree in a relevant field.
  • 2-3 years relevant work experience advantageous.
  • Excellent interpersonal skills.
  • Highly organized with attention to detail.
  • Enjoys learning, deep diving into issues to find solutions and innovate.
  • Excellent communication and writing, editing, formatting skills.
  • Experience with and/or ability to quickly master key IT tools, in particular Excel, Google Sheets, Microsoft Outlook etc. Prior experience with Deltek highly beneficial.
  • Ability to maintain and manage sensitive and corporate confidential information.
  • Motivated towards gender and cultural sensitivities, championing organizational and staff diversity, and upholding the organizational core values.
  • Working knowledge of a second language: French, or Spanish advantageous.
