ORGANISATIONAL CONTEXT:
The current hurricane season is predicted to be above normal, with an
anticipated range of 17 to 25 named storms (winds of 39 mph or higher). Of
these, 8 to 13 are expected to escalate into hurricanes (winds of 74 mph or
higher), including 4 to 7 major hurricanes (Category 3, 4, or 5, with winds of
111 mph or higher).

Hurricane Beryl made landfall in the southern Caribbean as a category 4
hurricane on Monday 1 July severely affecting Barbados, Grenada, St. Vincent
and the Grenadines, and Tobago. Beryl continued to make her way up the
Caribbean chain and made landfall in Jamaica on 3 July, as a powerful
category 4 hurricane and in the Cayman Islands on 4 July as a category 3.

Beryl has left a path of destruction in affected islands. Life-threatening winds,
heavy showers, and strong storm surges have damaged infrastructure and
disrupted the transport, agriculture, tourism, health, and telecommunication
sectors in the affected countries.

At this level work is carried out under minimum supervision. Job holders are
expected to produce organised and accurate technical work and reports.
They may provide guidance on standard practices to other staff and
counterparts in their area of work.

JOB PURPOSE:

To deliver standard business support processes for a specific professional
area of work, to facilitate effective service delivery.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
1. Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
2. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
3. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
4. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
5. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
6. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
7. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
8. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
9. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
10. Any other duties as assigned.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:

Education: Completion of secondary school education.

Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:
 Proficient in the use of office equipment and computer software
packages, such as Microsoft Word.
 Knowledge of work routines and methods in order to complete processes
under minimal supervision.
 Uses tact and courtesy to give and receive information to a wide range of
individuals.
 Ability to identify data discrepancies and rectify problems requiring
attention.
 Ability to offer guidance or basic on-the-job training to more junior staff.

Language: Fluency (level C) in English language.

Who Can Apply?

  • This position is open to nationals and residents of Jamaica or persons with authorization to legally work in Jamaica.

Employment Particulars

  • Type of position: Short Term, Full Time
  • Type of Contact: Service Contract Level 4 (SC 4)
  • Duration on Contract: 6 months.
  • Duty Station: Kingston, Jamaica
  • Travel Requirements: The WFP Caribbean Office cover the 22 English and Dutch speaking Caribbean countries. The selected candidate may be required to travel from time to time, both regionally and internationally, to support missions, emergency responses, training etc. As such full medical clearance will be required.
