Position Summary

The Data Services Associate’s primary responsibility is to ensure the integrity of the database for use by all channels and programs, providing a seamless donor experience for AWF’s constituents. S/he will work closely with the Data Services Officer to review that constituent and gift coding adheres to organizational specifications. This position will work as an integral member of AWF’s Data Services team by coordinating with finance and development departments and implementing AWF’s gift entry processes. This position will support AWF’s fundraising efforts by maintaining the integrity of and synthesizing institutional donor data. Additionally, this position supports the various fundraising departments by using data to achieve their goals whether through training, fielding questions or support of strategy through the input of data or the creation of exports and reports.

Key Responsibilities

Database Hygiene

  • Ensure all Raiser’s Edge (RE) code tables, as a fundamental part of the database, are clean for use.
  • Manage duplicate records in RE to assure zero information loss.
  • Perform scheduled hygiene queries in RE to confirm all records contain the necessary information for successful segmentation and production of philanthropy mailings.
  • Document and update AWF Database Policies, Procedures, and Scoping Documents.
  • Update GDPR consent information on donor records based on communications through various channels.
  • Collaborate with the Data Services Manager to open all mail received and evaluate, sort and total all donations.

Gift Processing

  • Update gift processing policies, procedures and resources as necessary.
  • Process credit card payments including monthly recurring donations and update recurring gift information when provided by donor.
  • Ensure acknowledgment of all gifts received in office in accordance with 48-hour turnaround policy.
  • Contribute to creation and implementation of new processes required by growing number of payment processors and accepted currencies.
  • Use mail and email communication processes to alert donors to failed monthly donations.

Finance Support

  • Facilitate communication between appropriate staff in the Development and Finance department regarding gift coding, including restricted gift’s project allocation to sync with financial database.
  • Liaise with finance department to ensure Raiser’s Edge reconciles with financial database and that the data in Raiser’s Edge is appropriately managed to assist in the yearly audit as well as ongoing reconciliation.

External Affairs Support

  • Support the Administrative Associate with responding to donor inquiries when appropriate.
  • Export data for acknowledgements on a regular basis and ensure the logic is accurate.
  • Produce simple List requests needs from team members in Raiser’s Edge database view and/or web view.
  • Use segmentation software to produce data files for Membership, Mid-Level and Major Donor direct mail pieces.
  • Record donor survey responses to ensure trends are captured and distribute to the appropriate stakeholders.
  • Import donors from online partners and workplace giving and ensure coding is compliant with each agreement.
  • Review all comments and updates in the Mavro database and update donors’ communication preferences accordingly.
  • Encourage socialization of Data Services policies by the Development & PE team by adhering to and communicating transparent policies.
  • Globally add mail and email actions for External Affairs team in response to form submissions.
  • Update communication preferences communicated by donors, including via AWF’s dedicated email account for privacy concerns.

Requirements and Skills

  • Bachelor’s degree with at least 2 years of experience.
  • Excellent verbal & written communication skills.
  • Advanced knowledge of Blackbaud Products: Raiser’s Edge & Omatic Tools.
  • Experience in Salesforce.
  • Works well in a team as well as independently.
  • Strong analytical skills.
  • Efficient multi-tasker.
  • Creative problem-solving skills.
