SOS Children’s Villages International works through member associations in 136 countries and territories worldwide.

 

SOS Children’s Villages Liberia has been active in the field of children’s rights and committed to children’s need and concerns in Liberia since 1981. We focus our work on children without parental care and children at risk of losing parental care and their communities. The organisation has a wide range of programmes in Monrovia and Buchanan, which include children’s villages, a youth care facility, kindergartens and high schools, a medical center and family strengthening programmes.

 

 

Function: Executive Assistant, Liberia

Direct Supervisor : National Director

Working location: SOS Children’s Villages in Liberia (National Office)

 

Mission of the position:

 

The Executive Assistant assists the National Director, Board/NA and Board of Directors in the pursuit of their mission. Supports the public relations strategy, following up on contacts made by the ND and helping to cultivate an ongoing relationship. He/She is responsible for managing the National Directorate.

 

Main Clients:

  • National Office (NO)
  • All programmes and facilities at the national level

Key performance areas and main responsibilities:

  • Write correspondences in English;
  • Participate in and prepare all logistics for meetings of the Board of Directors, National Management Team (NMT) and other requested meetings;
  • Write memos, reports and minutes of meetings;
  • Compile recommendations from the board of directors’ memos for follow-up;
  • Internal Newsletter Productions;
  • Manage all public service processes of the National Directorate;
  • Manage income generation services (guest houses, etc.)
  • Ensure all INGO legal compliance are adhered to.
  • Carry out the preparation and management of travel for employees of the National Directorate and Programs when requested;
  • Organize and manage the professional library of the National Directorate, including informative sharing of periodicals.
  • Reception of foreign visitors (logistical assistance with travel/hotel/transport organization and all support during their stay with agendas and meetings),
  • Be responsible for controlling all SOS Liberia assets (physical existence and state of conservation).
  • Support the Programs in better structure management and infrastructure maintenance.
  • Take on the role of responsible for Construction and maintenance services for Liberia infrastructures.
  • Ensure that infrastructure maintenance work is carried out on time by those responsible for the Units and management of the National Directorate.
  • Coordinate and supervise maintenance, safety and hygiene work, repairs and necessary maintenance of equipment and facilities of the National Directorate;
  • And others that are assigned and delegated by the superior and/or direct supervisor.

 

Role Requirements

  1. Degree in Business Administration or other related areas;
  2. Have good knowledge of administrative procedures and regulations;
  3. Have a good command of spoken and written English;
  4. Have excellent knowledge of archival techniques and administrative work;
  5. Have good communication and public service skills;
  6. Have good computer skills, particularly MS Office and the ability to organize databases;
  7. Possess a spirit of initiative, strong dynamism and versatility in the areas of intervention;
  8. Be easy to interact with and interact with children easily;
  9. Have excellent organizational, administrative and communication skills;
  10. Be dynamic and proactive;
  11. Have the ability to integrate into a multidisciplinary environment and work as a team;
  12. Have the ability to work under pressure

 

Child Protection & Child Safeguarding

 

  • Protect children from all forms of abuse, abandonment, exploitation, violence and discrimination.
  • Report any CS suspicion, concern, allegation or incident immediately: IF IN DOUBT, SPEAK OUT!
  • Act without delay: Failure to act may place the child in further danger.
  • Involve the right people at the right time: CS reports should be made to the CS team at programme level and/or to the respective line manager.,

 

This position involves working with an INGO committed to children and human rights and is subject to strict safer recruitment checks. The successful candidate will be required to complete safer recruitment checks including police and reference checks to help verify their suitability to work for SOS CV. In addition to the candidates’ ability to perform the duties of the post, in the selection process, we will also explore the motivation and approach of the candidate to safeguarding.
