The Executive Officer plays a pivotal role in supporting IR Türkiye CEO, Board of Directors (BoD), and Board of Trustees (BoT) in ensuring the smooth functioning of the organization. This position involves providing executive support to the CEO while also assisting the BoD and BoT in their governance responsibilities.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
The Executive Officer is accountable to fulfil his/ her roles and responsibilities in line with IR Türkiye’s code of conduct, values and principles, and to report to his/her line-manager regularly on the basis of annually defined key performance indicators (KPIs).
Support of CEO:
1. Provide high-level administrative and executive support to IR Türkiye CEO, including managing schedules, coordinating meetings, and handling correspondence.
2. Assist in the preparation of reports, presentations, and other materials for internal and external stakeholders.
3. Conduct research and gather information to support the CEO in decision-making and strategic planning processes.
4. Liaise with internal departments and external partners on behalf of the CEO to facilitate communication and collaboration.
5. Handle confidential and sensitive information with discretion and professionalism.
Support of Board of Directors (BoD):
1. Coordinate various IR Türkiye BoD meetings and activities in collaboration with the BoD Chair and members to ensure the effectiveness of BoD engagements as the primary operational authority.
2. Document BoD meetings and decisions to facilitate efficient follow-up and implementation of BoD resolutions and action items.
3. Maintain comprehensive records and archives pertaining to BoD decisions, meeting minutes, and other relevant documentation, ensuring compliance with Turkish regulations and organizational requirements.
4. Provide regular operational and legal updates to the BoD, covering matters such as regulatory compliance, networking opportunities, and strategic initiatives.
5. Execute additional or special tasks assigned by the BoD Chair in alignment with the organization’s objectives.
Support to Board of Trustees (BoT):
1. Assist IR Türkiye BoT and its Chair in fulfilling their tasks, duties, and responsibilities to effectively carry out their supervisory role.
2. Facilitate, arrange, and participate in BoT meetings in close collaboration with BoT members and its Chair.
3. Document BoT meetings and decisions to facilitate efficient follow-up and implementation of BoT resolutions and action items.
4. Maintain comprehensive records and archives pertaining to BoT decisions, meeting minutes, and other relevant documentation, ensuring compliance with Turkish regulations and organizational requirements.
5. Regularly brief the BoT and its Chair on various operational, legal, regulatory, and networking matters to keep them informed and engaged.
6. Support the due diligence and selection process for new BoT members in coordination with the BoT and its Chair as necessary for changes and additions within the BoT.
7. Manage and implement any additional or special tasks assigned by the Chair of the BoT to support the effective functioning of the organization.
PERSONAL SPECIFICATION
Experience
- Minimum 2 years of recent experience of working in executive support roles, preferably within organizations or foundations in Türkiye.
- Familiarity with the work of humanitarian and development agencies in Türkiye.
Skills
- Strong organizational and administrative skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to work effectively in a fast-paced environment and manage multiple priorities.
- The capacity to develop and maintain an understanding of and be sympathetic to the social, cultural and political context of the postion.
- Knowledge and familiarity with legal and regulatory frameworks governing non-profit organizations and foundations in Türkiye is desirable.
- Excellent written and spoken Turkish and English.
- Working knowledge of Microsoft Word, Excel, and Teams.
- Committed to IR Türkiye values and code of conduct.
Qualifications
- University degree or its equivalent in management, social science, international development, public administration, or a related field, an advanced degree preferred.
