SUMMARY:
IWPR is seeking a dedicated and organized Finance and Administrative Assistant to join our team. The ideal candidate will have a high-level of self-awareness, cultural sensitivity to marginalized and diverse groups, have at least two years of experience in administrative, financial, and logistical support roles.
This position will play a crucial role in organizing logistics for travel, workshops, events, and online meetings, preparing payment requests, following up with vendors, and maintaining documentation..
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administrative Support:
- Assist in the day-to-day administrative tasks;
- Manage calendars, schedule meetings, and coordinate appointments;
- Prepare and edit correspondence, communications, presentations, and other documents;
- Update and track the office inventory list.
Financial Support:
- Prepare and process payment requests;
- Assist in budget preparation and expense tracking;
- Follow up with vendors regarding invoices and payments;
- Coordinate with other finance team members
Logistical Support:
- Organize logistics for travel, including booking flights, accommodations, and transportation;
- Coordinate logistics for workshops, events, and online meetings;
- Ensure all necessary materials and equipment are available for events and meetings;
- Support the Operations Manager in the procurement and goods and services for the office and
program.
Documentation:
- Maintain and update admin and financial documentation and records;
- Ensure all documents are properly filed and accessible on IWPR database;
- Assist in the preparation of financial and admin reports.
QUALIFICATIONS and REQUIREMENTS:
Education:
- Bachelor’s degree in business administration, finance. management, or a related field preferred.
Experience:
- Minimum of two years of experience in a similar role;
- Experience in administrative, financial, and logistical support.
Skills:
- Excellent organizational and time-management skills;
- Strong attention to detail and problem-solving abilities;
- Proficiency in MS Suite and MS 365 (Word, Excel, Outlook);
- Strong communication and interpersonal skills;
- Ability to work independently and as part of a team.
Languages:
- Fluent in Arabic and English;
- Fluency in French is a plus.
ADDITIONAL INFORMATION:
Work Environment:
- This position may require occasional travel;
- Flexibility to work outside regular business hours as needed.
