MAGENTA is made up of four regional teams and four departments: Middle East & North Africa, Asia, Africa, Latin America & the Caribbean, the MAGENTA Lab, Corporate Services, Growth & Marketing and Technical & Programme. This role will be part of the Corporate Services department and will be focused on supporting finance and administrative requirements of the other regions and departments.
The position will work under the guidance of Operations Manager for all operations and finance tasks and work collaboratively as part of the Corporate Services Department while representing Operations in the regions. The role is suitable for an exceptional individual who is a fast learner, dynamic, organised, and eager to continuously find ways to make things more efficient and productive for the MAGENTA team.
RESPONSIBILITIES
The Finance & Operations Associate will be leading on all finance and administration tasks for the designated teams, supporting other departments also as required.
Contract Management
- Reads and is familiar with each project’s contractual agreement to be familiar with contract requirements and conditions
- Reviews contracts upon award and notes any usual compliance or operational requirements
- Participates in project kick-off meetings to represent Operations needs
People and Culture (HR)
- Updates MAGENTA’s personnel trackers and databases on a timely basis.
- Implements the full lifecycle of recruitment of new staff – from advertisement, to scheduling interviews, and issuing offer letters and contracts.
- Onboards new staff while following MAGENTA’s onboarding procedures, ensuring staff are well equipped in terms of inductions and all admin support required.
- Offboards staff while following MAGENTA’s offboarding procedures – prepare settlements and separations agreements and follow all admin requirements to ensure efficient offboarding.
- Implements P&C policies and systems across the department and be the focal point for any P&C related questions.
Procurement
- Manages, tracks, and processes procurement requests in line with procurement policy, including conducting competitive procurements, creating vendor agreements, and ensuring compliance.
- Promotes excellent value for money with all purchases by conducting negotiations with vendors and reviewing agreements.
- Maintains the vendor and contract databases ensuring information is up to date.
- Implements procurement policies and systems across the department and serves as the focal point for any procurement related questions.
- Identifies areas of process improvement or training needs within the regional staff and makes recommendations to the Operations Manager
Administration
- Supports the travel process, including travel budgeting, flight booking, accommodation booking, creating travel information forms, visas etc.
- Maintains up to date records of company assets.
- Supports and implements the process of obtaining residencies, work permits, or visas for MAGENTA staff and travelers as needed.
- Provides ad-hoc administrative support on project-level and corporate-level operations at the request of Regional Directors and Operations Manager respectively.
Growth
- Supports in operational requirements of proposal developments including any procurement quotes, administrative proposal forms, or submission requirements
Finance
- Conducts monthly project financial reconciliations with team leads.
- Assists Accountant in collection and recording of financial transactions related in MAGENTA’s ERP system and reconciliation of spending on MAGENTA’s projects.
Requirements & Competencies
- Education
- Relevant Bachelor’s degree;
- Experience
- 1-3 years professional experience;
- Prior experience in Operations, Administration, Finance, or Procurement preferred;
- Ability to work effectively, respectfully and successfully with governments, clients, partners and other stakeholders in complex settings;
- Excellent written and spoken English is required and French and Arabic is a plus;
- Technological and software fluency, including Office 365.
