Role Purpose

The Grant Assistant will be responsible for ensuring compliance with donors’ rules and regulations through verifying and checking supporting documentations of all expenses, filing all grants documents, review and track financial reports in coordination with relevant departments within the organization.

Reports to: Grants Officer

Key areas of accountability and responsibilities:

  • Check all supporting documentations and ensure that all supporting documentations are in line with Shafak standard policies and donors’ requirements.
  • Assist in grants budget monitoring, schedule and carry out Budget versus Actual (BvA) meetings with projects managers and other meetings to inform any budget needed changes.
  • Assist in updating the grants tracker for all new grants and amendments, reports, etc. ensuring that grants files are up to date with all relevant documents.
  • Assist in setting up and conducting periodic project review meetings with all relevant departments.
  • Review financial reports with project, finance, and logistics team and ensure that these reports are submitted on time to donors, making sure that all financial reports, and its supporting documents are in compliance with donors’ rules and regulations.
  • Prepare installment requests and update installment plan accordingly.
  • Assist Grants team in coordinating and addressing donor comments on reports and issues and share feedback with relevant Shafak’s team.
  • Prepare reporting tracker and share with relevant departments on monthly basis and keep relevant teams informed about upcoming reports deadlines.
  • Any other duties assigned by line manager when required.

Required Qualifications, Experience and Attributes

  • Experience working with I/NGOs in a similar position particularly working with Grants or Finance.
  • Bachelor degree in finance, business administration or any relevant field.
  • Good knowledge of donors’ financial reporting requirements is a plus.
  • Interpersonal, communication and presentation skills.
  • Strong computer skills particularly Microsoft office (Excel and Word)
  • Good command of oral and written English. Arabic and Turkish is an asset.
  • Ability to work under stress.
