Takaful Al Sham (TAS) has been responding to the Syrian crisis since 2012 and to the Refugee Response in Türkiye since 2013. Role Purpose:
Reporting to the Grants and Partnership Manager, the Partnerships and Grants coordinator will play a pivotal role in maintaining and building positive relationships with Takaful Al Sham’s strategic donors, partners, and stakeholders. The primary responsibility of this role is to secure funding. This position involves managing grant agreements from proposal development to reporting while ensuring compliance with donor requirements and organizational policies. The ideal candidate will have a strong background in grant management, partnership development, and a passion for humanitarian work.
Functional and organizational relationships:
Internally:
The Grants and Partnerships Coordinator regularly reports to the Grants and Partnerships Manager on partnership development, grant progress, and strategic initiatives. The coordinator line manages the Grants Partnership Senior Officer and Officer. Additionally, the Coordinator collaborates with the following functions:
– Programs Department: Collaborate on proposal development and reporting requirements.
– Finance Department: Work on budget development, support in monitoring grant expenditures, and Grant Budget vs Actual (BVA) analysis.
– MEAL and Quality Department: Track project progress and gather data for reports.
– Media Department: Coordinate the dissemination of information regarding grants and partnerships, success stories, and impact reports.
– Human Resources Department: Share TAS personnel legal status and vetting requirements, and coordinate training opportunities provided by partners and donors.
Externally:
Donors and Funding Agencies: Manage relationships and partnerships, ensure compliance with donor requirements, and provide regular updates and reports.
KEY RESPONSIBILITIES:
The grants and partnership coordinator will be responsible for carrying out the following responsibilities:
1. Partnership Development:
– Build and maintain strong relationships with existing and potential donors, partners, and stakeholders.
– Develop and implement partnership strategies to enhance collaboration and funding opportunities.
– Represent the organization at meetings, conferences, and networking events to promote its mission and programs.
– Negotiate partnership agreements and Memorandums of Understanding (MOUs).
– Monitor and assess partner and donor satisfaction, coordinating with various teams to ensure timely and accurate reporting.
– Follow up on and reply to any inquiries or requirements that partners and donors may have on a timely manner.
2. Grant follow up and Management:
– Assist in identifying funding opportunities.
– Contribute to the development of project proposals in coordination with various functions within Takaful Al Sham.
– Oversee the preparation and submission of high-quality grant proposals, budgets, and reports in collaboration with various teams.
– Ensure compliance with donor regulations and organizational policies throughout the grant lifecycle.
– Follow up on and track funding opportunities and analyze them.
– Develop and maintain grant management tools and resources for program teams.
– Ensure proper close-out of grants, including the submission of reports and archiving of grant documents
3. Strategic Planning:
– Contribute to the development and implementation of the organization’s fundraising strategy.
– Identify and analyze trends in the humanitarian sector to inform strategic planning and resource mobilization
4. Team Management:
– Train and mentor staff on grant writing, donor requirements, and reporting standards.
– Foster a culture of learning and continuous improvement within the organization.
5. Communication and Reporting:
– Ensure effective communication and collaboration between program, finance, and administrative teams regarding grant management.
– Prepare regular updates and reports on grant performance and partnership activities for the Grants and Partnership Coordinator.
– Develop and maintain a database of donors, partners, and funding opportunities.
6. Other Responsibilities:
– Adhering to the organization’s code of conduct.
– Ensuring that accountability and safeguarding procedures are adhered to and followed, and that any observation is reported.
– Preserving the dignity of the beneficiaries and not causing any harm.
– Respect and apply all principles of protection from sexual exploitation and abuse and the child protection policy, and the obligation to report any incident of sexual exploitation or abuse or any breach of the protection policy.
– Adhere to all Takaful Al Sham organization policies and abide by administrative orders and disciplinary procedures in the event of any violations.
– A pledge to abide by the zero-tolerance policy adopted by the Takaful Al Sham organization in cases of sexual exploitation and abuse, and immediate reporting in the event of any violation in this regard.
– Executing any other tasks assigned to him/her by the line manager.
QUALIFICATIONS AND EXPERIENCE:
• Bachelor’s degree in International Development, Business Administration, or a related field; a Master’s degree is a plus.
• At least 4 years of experience in grant management and partnership development, or a similar role within a humanitarian or non-profit organization.
• Proven track record in securing and managing grants from institutional donors, foundations, and other funding sources.
• Strong understanding of context, donor regulations, compliance requirements, and reporting standards
• Excellent communication, negotiation, and interpersonal skills.
• Ability to work effectively in a multicultural, team-oriented environment.
• Proficiency in Microsoft Office
Language Requirements:
• Fluency in English; knowledge of Arabic or Turkish is an asset but not mandatory.
