OBJECTIVES OF THE PROGRAMME

Within Business Operations (BOS), the Business Management System Programme (BMS) is tasked with building and deploying a next-generation enterprise resource planning (ERP) tool that will bring WHO’s work and ability to deliver on its mission into the modern realm. BMS will replace an outdated system with best-in-market tools for functions related to managing Human Resources, Finance, Budgeting and Planning, Supply Chain and Procurement, Travel and Expenses, Meetings and Events, and Treasury. The BMS ERP is part of WHO’s Transformation Agenda.

DESCRIPTION OF DUTIES

Terms of reference

Within the context of the WHO Internship Programme, the Business Management System Programme (BMS) is offering an internship to a university student or recent graduate with a desired combination of English / French fluency and an interest in applying multi-lingual skills to enhance the learning materials and activities that will be offered to WHO staff as they learn to use the Organization’s new ERP. The selected intern will have the opportunity to learn and engage with technology specific to machine translation, artificial intelligence, and machine learning. The selected intern will also gain insight into the business operations programmes of WHO and will enrich their knowledge and experience of the work of WHO language professionals, contributing to the Organization’s Transformation Agenda and advancing WHO’s mission to promote, provide and protect health. . The selection process for this internship is highly competitive.

Under the supervision of a user adoption and training officer in the BMS Programme, the intern is assigned the agreed terms of reference:

  • use machine translators, AI tools, and built-in extensions to assist in translating SOPs, training materials, and learning documents from English into French, then formatting and editing training materials and learning documents
  • become familiar with and use WHO’s in-house machine translation environments, as necessary
  • organize SOPs, training materials, and learning documents
  • verify that the language used in the SOPs, training materials, and learning documents matches that of the language in the system
  • provide language support for content being implemented in WHO’s digital adoption platform, Spotlight STEPS (powered by Lemon Learning) and Workday DAPs
  • provide language support for the glossary of crosscutting terms
  • assist in supporting pre-training briefings and trainings of trainers
  • participate in on-going departmental projects

Learning objectives

The purpose of the WHO Internship Programme is to provide an enriching learning experience for students and recent graduates. The Learning Objectives outlined within each internship vacancy are a key component of the programme. Within this internship, the Intern will:

  • Understand the objectives of WHO’s Transformation Agenda and the role of the Business Management System in that agenda
  • Communicate clearly, both verbally and in writing, about the Business Management System
  • Understand the role of training to deliver successful adoption of online tools
  • Know how to use machine translation tools, artificial intelligence tools, and built-in extensions for translation purposes
  • Know how to create and manage SOPs, training materials, and learning documents related to training and user adoption
  • Know how to be part of a team and contribute to team outputs and outcomes

DURATION OF INTERNSHIP

20 weeks with possibility of a 4-week extension – tentative start date 12 August 2024

REQUIRED QUALIFICATIONS

Education

Applicants must have completed the equivalent of three years of full-time studies in one of the following areas: language studies, written translation, or computer linguistics for the purpose of translation of documentation , at a university or equivalent institution prior to commencing the assignment; AND be enrolled in a course of study at a university or equivalent institution leading to a formal qualification (applicants who have already graduated may also qualify for consideration provided that they apply to the internship within six months after completion of their formal qualification).

Experience

  • Experience in written translation of documentation from English to French / French to English
  • Experience using machine translation tools
  • Understanding of artificial intelligence (AI) tools for translation of documents and online content
  • Ability to create documentation for training purposes

Languages

Essential: Expert knowledge of English and French.

Desirable: Intermediate knowledge of other UN languages

FINANCIAL SUPPORT

Interns do not receive a salary. They do however receive a living allowance. The allowance depends on the duty station and other external support (grant, scholarships, etc.) received by the intern. In Geneva, the maximum amount of the allowance provided by WHO is CHF 1680 per month. The exact amount of the living allowance will be calculated for each intern, after selection, based on a legal financial disclosure form that the individual will complete. In addition, all interns in Geneva will receive a lumpsum of CHF 20 for each working day to buy lunch at WHO campus or elsewhere. WHO also provides all interns with accident and medical insurance coverage.

  • Please note that internships at WHO are very competitive and only a small number of applicants will be accepted every year. Only candidates under serious consideration will be contacted.
