Our work in Uganda
In Uganda, ZOA has offices in Kampala, West Nile (Arua), Acholi (Nwoya), and Karamoja (Amudat). ZOA Uganda works both in relief and recovery on the themes of food security & livelihoods, primary/accelerated/vocational education, and conflict management with a special focus on land security.
ZOA Uganda is looking for a Logistics Assistant (Based in Acholi – Gulu Office)
Your challenge
The Logistics Assistant Acholi supports the Finance & Administration Coordinator for logistics related functions in ZOA Uganda Acholi offices (Gulu & Lamwo).
The position will have a strong focus on LIFT Project and with support from the Finance and Administrative Coordinator Acholi, he/she is responsible for the efficient and effective delivery of goods and services by managing the supply chain. This includes overseeing the transportation and storage of products, tracking orders, monitoring stock levels, and ensuring that orders are fulfilled in a timely manner under the LIFT project in Palabek refugee settlement and host community in Lamwo District.
Your main tasks and responsibilities
Procurement
- Assists in the coordination of reception and storage of procured goods and services for ZOA Acholi offices, including those items procured in Kampala (and internationally) for programme activities.
- Supports procurement of goods/services/works according to ZOA procurement guidelines
- Supporting in receiving of goods procured and checking their quality
- Keep accurate and transparent records of all logistic or procurement transactions using ZOA Manager
Driver support and vehicle/fleet management
- Fuel management for the motorcycles and Vehicles, including receiving and entering logbooks
- Assisting Finance & Administration Coordinator in ensuring vehicle maintenance is carried out according to schedule/required maintenance and repairs are done in time
- Responsible for registration, insurance and maintenance of vehicles
Stores and asset management
- Keeping track of office consumables in all ZOA Acholi offices and ensuring their availability using stock cards
- Organize storage of goods and assets at ZOA Acholi offices
- Assists in safeguarding of all ZOA assets and maintaining and updating assets register and submit quarterly assets list to, including asset owner, chargeable project and any repairs or maintenance needs
Transport and cargo
- Organizing transportation of materials (e.g. fuel) to Acholi field offices
Office health & safety and security
- Coordinate maintenance of ZOA Acholi offices and other assets, ensuring safety equipment is in place and well maintained
Accountability
- Sensitize all stakeholders (beneficiaries, service providers, partners, government and other) on feedback and complaint mechanisms implemented by ZOA Uganda
- Upon receipt of a complaint or feedback, ensure that it is correctly documented following correct reporting procedures
- Understand ZOA’s code of conduct and safeguarding policies, ensure adherence to these policies and that project activities are implemented with a “Do No Harm” approach

Identity

Knowledge
- Minimum of a Diploma in Procurement and Logistics, Administration or its equivalent.
- Minimum working experience of 2 years in logistics and Administration, preferably for an (I)NGO
- Proven skills in logistics and store management
- A good understanding of managing a large pool of assets is preferred
- Good understanding of issues relating to fraud and conflict of interest
- Familiarity with IT and communication equipment
- Good command of English

Special conditions/circumstances
The Logistics Assistant will be based in Acholi- Gulu. With visits to the sub office(s) within Acholi Program. The post holder may be required to drive ZOA vehicles at times.
