Job Title: Logistics Coordinator (International Hire)
Location: Colombia, South America
Reports to: Head of Finance and Operations
Job Summary: The Logistics Coordinator provides technical assistance to the logistics and procurement functions of Malteser International Americas in Colombia. This position will work with the logistics and procurement team, in close collaboration with the Country Administration Manager, to evaluate and steer improvements and strengthen procedures including logistics management, procurement, warehousing, transportation, inventory management, and distribution of goods and services. The Logistics Coordinator will work closely with various departments to ensure seamless operations and support the overall mission and goals of the organization.
Responsibilities:
1. Logistics Management:
- Plan, implement, and oversee improvements for logistics operations including procurement, transportation, inventory, warehousing, and distribution.
- Develop or update and maintain logistics policies and procedures to ensure compliance with organizational policies and donor regulations.
2. Procurement:
- Ensure all procurement activities are conducted in accordance with organizational policies and donor regulations.
- Develop procedures to increase effectiveness and efficiencies within procurement processes.
- Establish best practices and tools specific to the local context and in accordance with relevant regulatory requirements.
3. Warehousing:
- Evaluate warehouse operations, including receiving, storing, and distributing goods, with particular focus on pharmaceutical supplies.
- Review and ensure proper inventory management and control systems.
4. Inventory Management:
- Monitor and manage inventory levels and ensure regular stock checks.
- Improve inventory control measures and tools to prevent overstocking and stockouts.
- Ensure accurate record-keeping and reporting of inventory data.
5. Team Management:
- Review logistics team setup and provide recommendations for improvements.
- Review performance and identify training needs for team members.
- Provide logistics trainings and mentorship to logistics department, program team, and senior management.
- Foster a positive and collaborative working environment within the logistics team and across departments.
6. Reporting and Documentation:
- Prepare and submit regular reports on logistics operations, including key performance indicators (KPIs) and metrics.
- Maintain accurate and up-to-date records of all logistics improvement activities.
- Ensure all documentation is complete, accurate, and compliant with organizational and donor policies.
Qualifications:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of 5+ years of experience in logistics management within an international non-profit organization. Experience with humanitarian organizations preferred.
- Expertise in logistics operations, including procurement, transportation, warehousing, and inventory management.
- Knowledge of U.S. and German funded donor regulations preferred.
- Excellent organizational and problem-solving skills.
- Strong leadership and team management abilities.
- Excellent communication and negotiation skills.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Fluency in Spanish and English.
- This position is open to international and expat candidates and requires travel and/or stationing in Riohacha, Colombia.
Working Conditions:
- This position may require travel within the country.
- Ability to work in challenging environments and adapt to changing circumstances.
- Flexibility to work outside regular working hours as needed.
What we offer:
- Start Date: As soon as possible, September 2024, preferred.
- Duty Station: Riohacha, Colombia; will consider separate arrangements with required in-country travel
- Duration of contract: 6 months with the possibility of extension
- Salary according to qualification and experience, additional packages depending on international filling of position including visa support, as required.
