Job Title: Partnerships Manager

Location: Warsaw, Poland

Contract duration: 24 months

Travel: The position will require occasional travel

DRS is looking, on behalf of Humanitarian Organization, for a skilled Partnerships Manager to lead the overall capacity assessment process, as well as capacity building plans, ensuring partners have the tools and support to deliver on pro-jects, strategies, and services.

KEY RESPONSIBILITIES:

  • Participate in planning and developing a civil society partnership-based programme, including identifying and assessing potential new partners as per standards and requirements.
  • Lead the development and implementation of the partnership capacity strengthening programme in line with assessment results.
  • Support Programme Managers in preparing, revising, and following up on project implementation plans, capacity-building plans, and reporting requirements, ensuring alignment with humanitarian principles.
  • Coordinate with technical departments to train partners and support them in implementing quality interventions, provid-ing technical advice and monitoring services as needed.
  • Oversee the proposal and budget development process, supporting Programme Managers and partners.
  • Manage Partner-Donor reporting flow, including the review of civil society partner grant applications, sub-grant alloca-tion processes, and accountability documentation.
  • Maintain a well-structured filing system for all partnership projects, including project reporting, photos, videos, means of verification, and detailed beneficiary records, ensuring confidentiality and professionalism.
  • Facilitate partner payments and follow up with the finance team, providing all necessary documentation.
  • Coordinate with Programme/Field Managers, partners, and stakeholders to ensure better coordination by attending working group meetings.
  • Keep track of technical, operational, HR, financial, and grant questions with partners, facilitating support from relevant departments throughout the programme cycle.
  • Conduct verification visits to partners and assess their institutional capacity to identify strengths, weaknesses, opportu-nities, and threats.
  • Support partners in grants management, ensuring compliance with accountability, reporting, and MEAL requirements, providing ongoing coaching and monitoring.
  • Contribute to strategic discussions and the development of the partnership approach/strategy, ensuring it remains flexi-ble to the needs of Poland and aligns with ethical and responsible partnership commitments.
  • Ensure that partnership activities are implemented according to best practices and organizational policies and process-es.
  • Support the development of joint program strategies and approaches with partners and staff to enhance the effective-ness of our work.
  • Be willing and able to dramatically change work practices and hours and work with incoming surge teams in the event of a crisis or emergency.
  • Perform any other tasks assigned by the line manager.

QUALIFICATIONS:

  • Postgraduate or Master’s degree in a relevant field.
  • Minimum 5 years of work experience in the humanitarian sector/with NGOs.
  • Good skills and experience in all aspects of programme cycle management – design and development, implementation, monitoring, and evaluation.
  • Experience in organizational capacity development, training, mentoring, and coaching.
  • Excellent training, facilitation, and capacity-building skills.
  • Strong analytical and conceptual skills and the ability to think and plan strategically
  • An excellent team player with good skills in teamwork and a consultative approach to decision-making
  • Excellent communication skills, both oral and written, including a good track record of report writing
  • Excellent written and spoken English. Knowledge of Polish will considered an advantage.
  • Commitment to the values, mission, and principles of the organization
  • Proven experience in field-level representation with key stakeholders and coordination with other NGOs.
