Mission and objectives
The United Nations International Computing Centre (ICC) has nearly 50 years of experience providing Information and Communications Technology (ICT) services to United Nations programmes, funds and entities. Its mission is to provide ICT services to the United Nations family, maximise the sharing of infrastructure, systems and skills and generate economies of scale to benefit its over 60 Clients.
Context
The organization has a strategic view of ICT support for United Nations goals and results, with expertise and complex knowledge about their ICT environments. As a United Nations entity, ICC is uniquely positioned to understand and meet the needs of its Clients (www.unicc.org). Purpose of the Consultancy: To perform mainly procurement activities related to processing procurement requests and performing various procurement administrative tasks. Organizational Setting and Reporting : The consultant will work under the supervision of a staff member in the Procurement Unit.
Task description
Under the direct supervision of Head, Procurement Unit, the International UN Volunteer will:

To prepare contracts for signature after coordination with Legal, Procurement and/or technical unit.

Provide administration support during the preparation of the procurement requisitions and ensure compliance with WHO Procurement rules and regulation.

Effectively coordinate with the requesting units to collect information for timely submission of procurement requests.

Process requests for goods and services procurement using UNICC internal procurement system.

Coordinate with vendors to support the Procurement Team in obtaining quotes / proposals.

Assist Procurement Team in preparation and publishing of tenders.

Create supplier accounts and process procurement requisitions in the ERP system.

Maintain an up-to-date list of suppliers and contractors.

Organize and file procurement documents in the respective SharePoint folders.

Perform other duties as required. Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work.
As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:

Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);

Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;

Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities.

Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;

Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;

Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible. Results/Expected Outputs:

As an active UNICC team member, efficient, timely, responsive, client-friendly and high-quality support rendered to United Nations International Computing Centre (UNICC) and its beneficiaries in the accomplishment of her/his functions, including: Performance of procurement activities related to processing requests for procurement of goods and services; preparing contracts for signature; assisting Procurement Team in obtaining supplier quotes / proposals and in publishing tenders; creating supplier accounts and maintaining suppliers and procurement files.

Age, Gender and Diversity (AGD) perspective is systematically applied, integrated and documented in all activities throughout the assignment.

A final statement of achievements towards volunteerism for peace and development during the assignment, such as reporting on the number of volunteers mobilized, activities participated in and capacities developed.
Requirements
Required experience
- 3 years of experience in contract administration, procurement or related field.
- Good computer skills. Proficient in Microsoft Office (Excel, Word, Outlook, Teams. etc.) and SharePoint
- Good contract administration or procurement skills
- Good interpersonal skills with people of different national and cultural backgrounds.
- Meticulous, organized and a good team player.
- Has good communication skills.
- Working knowledge of ERP Systems such as Oracle
- Basic knowledge of ServieNow and/or Microsoft Dynamics365
