General context of the project

INTERSOS has been present in Iraq since 2003 and currently operates in the governorates of Ninewa, Salah Al Din (SAD), Erbil and Sulaymaniyah with its coordination office based in Erbil. By mid 2024, INTERSOS Iraq has more than 200 national staff and 11 expatriates as well as volunteers and incentive workers.

INTERSOS’ thematic areas of intervention are Protection and Education. Applying an integrated programmatic approach, INTERSOS provides vital services to women, men, girls, and boys from the displaced, refugee and host communities in its areas of operation. In the protection sector, INTERSOS is a major player in Iraq and provides a comprehensive package of protection services. Services include protection monitoring, MHPSS, case management (GBV, child protection), and legal assistance, counseling, and representation, as well as social cohesion. In the education sector, INTERSOS supports access to formal and nonformal education for Syrian refugees and displaced Iraqis in camps and urbanlocations and promotes integration of child protection and PSS in the education system.

General purpose of the position

The Project Admin Assistant will support the KRI Programme Manager in the management and administration with a particular focus on the AICS-funded project P.A.S.S.I.(K): Protection And Support for Social Inclusion of GBV survivors in Kurdistan.

Main responsibilities and tasks

  • Support the preparation of periodic reporting for AICS (with a focus on Interim and Final reports)
  • Organize the physical archive for the submission of project documents and Means of Verification (MOVs) to the donor and for INTERSOS accountability
  • Coordinate with support departments (logistics and human resources) in the preparation, organization, and translation of administrative documents
  • Support in the preparation of annexes and supporting documents required to accompany Interim and Final donor reports, according to a pre-established checklist
  • Support in the revision of MEAL survey results, activity reports, and databases as part of the mandatory project documentation
  • Support in the collection and archiving of project-related Means of Verification (MOVs) both electronically and physically
  • Support in organizing lessons learned sessions with staff and partners to gather information on and document project impact
  • Prepare communication and advocacy-related materials, such as factsheets, briefs, presentations, reports, etc.
  • Other duties as assigned or delegated by the KRI Programme Manager

Required profile and experience

Education

University Degree in Humanitarian Action, International Development, Social Sciences, or related field

Professional Experience

  • Experience with humanitarian/development project management and administration
  • Previous experience working with NGOs is highly desired

Professional Requirements

  • Computer literacy (Word, Excel, PowerPoint)
  • Good leadership skills
  • Technical knowledge of protection in humanitarian settings
  • High confidentiality, respect and non-discriminatory attitude
  • Strong analytical and report writing skills

Languages

  • Fluency in English and Italian mandatory (written and spoken)
  • Knowledge of Arabic and Kurdish highly desirable

Personal Requirements

  • Strong planning and organizational skills
  • Good interpersonal and communication skills
  • Ability to work under pressure and as part of a team
  • Cultural sensitivity
