Job Title: Senior Operations Officer (Human Resource and Contracting)

Job Summary:
Reporting to the Deputy Country Director, Kenya, the Senior Operations Officer(Human Resource and Contracting) will support the Operations department across various functions, including recruitment, employee relations, performance management, compliance with employment laws, and contract management. This role is crucial in fostering a positive and productive workplace environment and ensuring effective HR and contracting operations.
Key Responsibilities:
Recruitment and Onboarding:
- Lead role in the recruitment process, including job postings, resume screening, interviewing, and selection.
- Employ various sourcing methods and platforms to attract and engage top talent.
- Ensure a positive candidate experience throughout the recruitment process.
- Coordinate and conduct new employee orientations and onboarding activities.
- Verify that all new hire paperwork is completed accurately and in a timely manner.
- Maintain accurate employee records and ensure adherence to HR policies and procedures.
Compliance and Record Keeping:
- Maintain up-to-date records of recruitment activities, employee development, and performance evaluations.
- Stay informed about employment laws and regulations, ensuring compliance.
- Keep organized and accurate records of personnel files and HR databases.
- Manage timesheets and annual leave records effectively.
Performance Management:
- Support the performance management process by coordinating evaluations and development plans with team leads.
- Assist in implementing employee engagement and development programs.
- Provide guidance and address HR-related inquiries and issues.
HR Policies and Procedures:
- Contribute to the development and implementation of HR policies and procedures.
- Communicate and ensure adherence to company policies and procedures.
Employee Relations:
- Act as a point of contact for employee inquiries and issues, offering guidance and support.
- Conduct surveys and gather feedback to evaluate employee satisfaction and address concerns.
- Assist in resolving employee conflicts and grievances fairly and promptly.
- Promote a positive work environment through employee engagement initiatives.
Benefits Administration:
- Support the administration of employee benefits programs, including enrollment and inquiries.
- Liaise with external benefits providers to resolve issues and ensure accurate processing.
Contract Management:
- Draft and review contracts to ensure legal and organizational compliance.
- Manage the contract lifecycle from initiation to renewal or termination, ensuring timely execution and adherence to policies.
- Collaborate with finance teams to align contracts with financial objectives.
- Maintain an organized and up-to-date contract database and filing system.
- Monitor contract performance and address any issues or discrepancies.
Compliance and Risk Management:
- Identify and mitigate risks related to HR and contract management.
- Prepare reports and presentations on HR and contract metrics and performance.
Administrative Support:
- Coordinate meetings and communications between internal and external stakeholders.
- Provide support for other administrative tasks as needed to ensure efficient operations.
- Manage and update the applicant tracking system and HR databases.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 5 years of experience in an HR role.
- Solid understanding of HR principles and practices.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite and HR software applications.
- Strong organizational and time management skills.
Preferred Qualifications:
- Professional HR certification (e.g., SHRM-CP) is a plus.
- Experience with HRIS systems.
