.OBJECTIVES OF THE PROGRAMME

The objective of the Division of Business Operations (BOS) is to support the work of WHO in the European Region through delivery of services within the areas of human resources, finance, contracting and procurement, legal advice, information & communications technology, printing, security, facilities management, fixed assets, conference support, travel and transport, safeguarding personnel and staff wellness and well-being. As an enabling function, the division enhances the productivity of the health technical programmes and country offices while at the same time overseeing accountability, transparency and compliance with WHO administrative rules and regulations. The BOS division strives to strengthen the capacity of WHO/Europe to react in an agile way to external and internal changes. The division projects are designed to increase productivity, ensure financial sustainability of the region’s structures, reinforce a client-oriented culture, strengthen country office capacities, and drive strategic initiatives to enhance staff motivation and well-being.

The purpose of the Administrative Services and Conferences (ASC) unit is to deliver efficient, cost effective and responsive logistical and administrative support through a service-oriented approach for the day-to-day operations and staff of the EURO offices and related entities.

DESCRIPTION OF DUTIES

As part of the Administrative Services and Conferences unit, to plan and execute the production of various printed matters, coordinate supply and stock of paper and consumables, maintain the print ordering portal, ensuring smooth and efficient printing services for WHO office, meetings and UN City

Under supervision of the Operations Officer, the incumbent will:

  • Plan and execute the production of various printed matters at the WHO Printshop: Operate high-speed photocopiers, wide format printers and various equipment, assemble and finalize printed matters, ensuring quality and compliance with relevant standards and timescales Prepare high quality printed materials for WHO and all other Copenhagen-based UN agencies. Produce banners, posters, roll-ups, table signs, business cards and signages etc. Arrange panels for exhibition and displays.
  • Design and print WHO and UN branded products. Assist with layout and data merging for printing products when requested.
  • Maintain and update the Printshop’s web ordering portal, including making minor adjustments (prices, contacts, addresses, etc.) and providing basic support to users.
  • Maintain the stock control and coordinate the bulk purchase of paper, cardboard, consumables and supplies, ensuring sufficient supplies available for the Printshop and print rooms of the Regional Office.
  • Maintain a log of repairs and equipment used in the Printshop.
  • Maintain a cost recovery system, including processing internal charging to EURO units/offices and billing to all other Copenhagen-based UN agencies for supplied paper or work carried out by the team. Follow up on orders, invoices and payments when required.
  • Serve as DocuCare first level support for corridor photocopiers/printers at the Regional Office, maintain regular contact with supplier, ICT helpdesk and technical support to ensure smooth functionality of the equipment
  • Collect printing statistics to support pricing adjustments, planning for supplies and equipment
  • Provide assistance for major WHO conferences, Regional Committee, and other meetings with regard to printers as well as the printing and setting up of documents, reports, table plates, signages, flags, etc.
  • Provides assistance to other areas of work of ASC unit as required

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school or equivalent.
Desirable: Relevant higher education.

Experience

Essential: At least 5 years of experience in digital high speed reproduction, volume copying and wide-format printing using current technologies. . Experience in operating, troubleshooting and providing support on the use of multipurpose photocopiers/printers. D

Desirable: Relevant experience working in WHO or in the UN.

Skills

·Good knowledge of standard office software.

·Up-to-date technical knowledge of offset production.

·Proactive, service-oriented, client-focused and demonstrating resourcefulness and judgment.

·Ability to meet work deadlines in a timely manner and to work independently in a team environment.

Desirable:

·Demonstrated knowledge of Excel as well as desktop publishing software such as Adobe Indesign, Illustrator, Photoshop or similar.
