Job Title: Junior Program Analyst/Admin Assistant

Department/Location: USAID LAC FO / Washington DC

Overview: USAID/LAC Bureau’s leadership is looking for a candidate that can perform a variety of program and administrative support functions.

Responsibilities

Essential Duties/Tasks and Responsibilities:

REPRESENTATIVE PROGRAM FUNCTIONS:

  • Supports the development, planning and implementation of U.S. government initiatives and special projects, including facilitating coordination within the bureau and between the bureau and other U.S. government stakeholders to help advance U.S. foreign policy and foreign assistance objectives.
  • Contributes to research projects, including outreach to field missions, other U.S. government agencies, and external sources on topics including country profiles, political analysis, and issue briefs on development topics.
  • Drafts written products in response to tasks from USAID senior leadership to Congress, other U.S. government agencies, and the general public. These products, such as memoranda, talking points, briefing materials, and official correspondence must meet high standards of professionalism.
  • Assists in the development and maintenance of a digital knowledge management system for consolidating and managing LAC’s publications, reports, briefers, correspondence and data – both paper and electronic.
  • Performs other program functions as may be assigned.

REPRESENTATIVE ADMINISTRATIVE FUNCTIONS:

  • Compiles and/or prepares briefing materials, ensuring all relevant information is available for the following day’s events and activities along with conferences, travel, etc. Coordinates with offices across the bureau on pre-brief documentation and meetings.
  • Oversees and coordinates across Bureau offices programmatic and administrative document reviews in preparation for clearance.
  • Provides a variety of administrative support and correspondence control work that may include, but not be limited to a) maintaining electronic/hard copy files per USAID regulations; b) per federal and Agency requirements, maintaining classified information up to secret level; c) receiving high level visitors and coordinating access to the Ronald Reagan Building with the Office of Security.
  • Arranges travel preparations, such as transportation, passports, visas, and vouchers, and coordinating with USAID’s travel agency.
  • As needed, accompany Bureau leaders on overseas and domestic travel to provide programmatic, administrative and logistics support.
  • Performs other administrative tasks as may be assigned.

Qualifications

Minimum Requirements:

  • A minimum of 2 to 3 years providing administrative assistance (more than just answering phones) and/or two years providing administrative assistance, program management, research on LAC related migration.
  • Excellent oral and written communication skills and the ability to communicate effectively with a wide range of people.
  • Outstanding problem solving, critical thinking, and organizational skills, as well as exceptional attention to detail.
  • Ability to pursue topics in depth, using a wide range of resources.
  • Enjoy working with others in a fast-paced, demanding setting while maintaining professionalism and composure under pressure.
  • Familiarity with Google and Microsoft suite of applications, including Gmail, PowerPoint, Excel, Word, calendars, etc.

Education: A Bachelor’s Degree or Masters Degree in a field related to international development, such as economics, political science, philosophy, or another related area.

Preferred Knowledge, Skills and Abilities:

  • Graphic design, presentation, and editorial experience preferred but not required.
  • A second language to include Spanish, Portuguese, or French preferred.

Working Environment: Work is typically performed in an office environment. Currently the company is allowing for remote work due to COVID 19 in the District of Columbia, Maryland and Virginia (DMV) area. This can be updated by the company.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Travel: International travel may be required and may include travel to fragile and/or conflict-prone zones.

Work Authorization: Candidate must be authorized to work in the U.S.A.
